The Opportunity

We are seeking an enthusiastic, flexible, and dedicated professional for the role of Coordinator, Fund Development for our Southern Alberta office in Medicine Hat. The Coordinator, Fund Development is responsible for coordinating and executing the overall operation of community based fundraising activities by building relationships within the community and providing resources and awareness with a focus on achieving program goals through ongoing increased productivity and executing volunteer strategy. The position promotes the organization’s profile and mission.

The coordinator for this role is specifically responsible for:

  1. Jump Rope for Heart 
  2. Heart and Stroke Big Bike
  3. Shared Office Duties   
Key Accountabilities

Program Coordination

  • Promoting, coordinating, and delivering programs
  • Overseeing, executing, and maintaining each program’s critical path, budget, manual, processes, and planning; setting and meeting budget targets
  • Creating initial contacts with community members with the goal of increasing presence by selling and promoting our programs and liaising with current and potential contacts in order to maintain relationships and presence
  • Creating and conducting promotional and awareness presentations to various audiences 
  • Participating with  Area Manager in identifying and developing operational plans and tactics for growing HSF presence, fundraising, and business relationship
  • Implementation of business plans – accountable for proactive management and completion of project or program within designated budget, timelines, and logistics
    • Conducting research, developing plans
    • Developing and submitting project plans and ongoing reports
    • Completing (or developing as necessary) full documentation for projects
  • Anticipating program participant needs and proactively searching for solutions to ensure participant expectations are met or exceeded

Event Management

  • Promoting, coordinating, and delivering the programs onsite at community schools, which involves physical activity, kick off presentations to 30 – 700 students, and a high level of interaction with the children
  • Developing and/or adhering to established implementation plans for event maximization, such as coordinating meetings, kickoffs, and presentations
  • Determining overall direction of events, event day logistics plan, and ensuring all logistics are executed effectively, including obtaining permits and insurance, scheduling, and materials
  • Ensuring that events are successfully implemented and fully completed within established timeframes, including:
    • Booking the venue
    • Creating and coordinating advertising
    • Inviting attendees
    • Arranging activities
    • Setting up the event
  • Maintaining accurate and complete records of all event activity and inventory
  • Working with the Area Manager and corporate teams to determine the marketing and communication requirements for events 

Volunteer Supervision

  •  Assisting Area Manager in developing plans and tactics to strengthen volunteer structures
  • Volunteer scheduling, training, and supervision for individual programs
  • Ensuring effective volunteer cultivation, stewardship, and follow-up to ensure the continued growth and success of programs

Program Administration

  •  Prioritizing, identifying, and initiating contacts (current and new) with participants (includes conducting warm and cold sales calls/presentations)
  •  Tracking program statistics and providing analysis of productivity, including analysis of revenue
  •  Keeping accurate and up to date donor and participant records in existing systems including Navision 
  • Program informational materials/package preparation
    Coordination of program prizing including determining appropriate prizes needed for Big Bike events, working directly with school liaisons to determine appropriate prizes needed for Jump events, ordering inventory from the warehouse to be sent to office and schools and maintaining a small inventory of prizes for special occasions
  • Donation collecting and processing, which involves counting, making bank deposits, processing credit card payments, and reporting
  • Overseeing and managing revenue and associated reports for fund raising
  • Monthly and weekly reporting
Business Standards and Conduct
  • Conducting oneself in a manner that ensures the integrity and image of the Foundation is upheld at all times
  • Supporting a workplace of respect through contributing to a healthy, harassment-free environment supportive of the dignity, self-esteem, and productivity of colleagues and volunteers
  • Ability to travel within community and surrounding areas with access to own vehicle
  • Must be energetic, enthusiastic, and enjoy working with both children and adults
  • Demonstrated working knowledge and skill in the Microsoft Office Suite, including databases
  • Excellent sales skills (including comfort with cold-calling)
  • Excellent organizational and time management skills 
  • Excellent interpersonal and communication skills (both written and verbal), with the talent for communicating clearly, simply, and concisely in a mature and professional manner
  • Sound decision-making, problem solving and research skills
  • Ability to effectively promote and sell ideas and/or programs along with excellent interpersonal and presentation skills
  • Ability to demonstrate fund raising activities to targeted audiences (i.e. jump rope) is highly desirable
  • Ability to work in a team environment and with minimal supervision
  • Ability to work occasional overtime including evenings and weekends
  • Ability to provide a current and satisfactory driver’s license/driver’s abstract 
  • Ability to develop strong community connections
  • Flexible/adaptable, able to work in a fast paced, ever-changing environment; able to effectively manage a demanding schedule and prioritize responsibilities
  • Post-secondary education in a Not-for-Profit, Fund Development, or Recreational/Fitness program would be preferred
  • 1 year experience in a related field (e.g. fund development/sales/marketing/health)
  • Event planning or project management experience would be an asset
  • Previous experience in a Not-for-Profit environment, including coordinating and supervising volunteers, would be an asset
